Cancellation & Refund Policy
Version 2.1 (Draft, reconciled with leadership & pamphlet review)
E.1 Introduction and Applicability
This Policy governs cancellation of Plans, refund eligibility, and Vision AI Credit purchases. It applies to the EXL Plan, the EXL Scholar Plan, the EXL Topper Plan, Vision AI Credit purchases, and any future Plan unless otherwise specified. It forms part of the Terms of Service; by purchasing any paid Service, the Customer agrees to this Policy.
E.2 Cancellation Process
Customers may cancel at any time via Profile > Plan > Cancel on the website or app, in no more than two confirmation steps, or by emailing support@schoolexl.com with their registered ID. Cancellation becomes effective upon SchoolExl's confirmation.
E.3 Seven-Day Full Refund Window
A Customer is entitled to a 100% refund of the Plan Fee if the cancellation request is received within seven (7) calendar days of purchase and no premium feature has been accessed. A Plan is considered "used" once any of the following occurs: first login after activation, completion of an assessment, creation of a personalized learning plan, use of Vision AI or Voice AI, an AI Mentor interaction, or access to premium content.
E.4 Refunds After Use
- Day 8–15: 50% of the Unused Subscription Value.
- Day 16–30: 25% of the Unused Subscription Value.
- Beyond Day 30: no refund; the Plan remains active until the end of the paid annual term.
E.5 Refund Calculation
Unused Subscription Value = (Plan Fee ÷ 365) × Remaining Days in the annual term as of the Cancellation Date. From that value, SchoolExl applies the applicable refund tier in Section E.4 to produce the tier-adjusted refund amount, then deducts the 10% processing charge described in Section E.6 and the value of any Vision AI Credits consumed beyond the Plan's included allowance, if any. The final refund can never be less than ₹0, SchoolExl will never invoice or claw back money from a Customer under this Policy.
Worked example: EXL Scholar (₹5,000), cancelled on Day 12 with 353 days remaining and no Vision AI Credits purchased, Unused Subscription Value = (5,000 ÷ 365) × 353 ≈ ₹4,836; 50% tier (tier-adjusted refund amount) = ₹2,418; less 10% processing charge (₹242) = ₹2,176 refunded.
E.6 Processing Charge
Eligible refunds are subject to a processing charge of 10% of the tier-adjusted refund amount produced by Section E.5 (not a fixed rupee amount and not 10% of the original Plan Fee), so the charge always scales with the refund actually due and never pushes a refund negative. This charge covers payment gateway costs, banking charges, administrative processing, fraud verification, and financial reconciliation.
E.7 Vision AI Credits
Vision AI Credits purchased separately are digital consumable services. Unconsumed Credits are refundable only if the associated Plan itself qualifies for a refund under this Policy; consumed Credits are non-refundable, as the underlying AI processing has already been delivered. Unused Credits carry forward in accordance with the Platform's standard terms.
E.8 EXL Plan: Final-Sale Exception
Although priced under ₹499, the EXL Plan is a full annual subscription, not a promotional or low-value trial item. It is therefore not subject to the final-sale rule for sub-₹499 items and instead follows the standard refund tiers in Sections E.3–E.5 like every other Plan.
E.9 Non-Refundable Items
Unless required by applicable law, refunds are not available for expired or completed subscription terms, consumed Vision AI Credits, promotional giveaways, complimentary subscriptions, bonus credits, gift subscriptions, or third-party purchases where SchoolExl is not the merchant of record. Any standalone paid item priced under ₹499 is final sale, except the EXL Plan (see Section E.8). To prevent this rule from being used to avoid refund obligations, SchoolExl will not permit a single Plan or service to be split into multiple sub-₹499 transactions, or multiple features bundled into one purchase, solely to trigger or avoid this clause; where such structuring is found, the standard tiered rules in Sections E.3–E.5 apply instead.
E.10 Payment of Refunds
Approved refunds are ordinarily initiated within ten (10) Business Days and processed to the original payment method. Actual credit timelines depend on the Customer's bank, card issuer, UPI provider, or payment gateway, for which SchoolExl is not responsible.
E.11 Fraud & Misuse
SchoolExl may deny a refund where it reasonably determines that fraudulent activity, false information, payment abuse, multiple Accounts used to exploit promotional offers, or a violation of the Terms of Service has occurred, and will communicate the basis for such a determination to the Customer in writing where reasonably practicable.
E.12 Cancellation by SchoolExl
If SchoolExl permanently discontinues a paid Service before the Plan's expiry, the Customer is entitled to either a pro-rata refund with no processing charge, or migration to an equivalent or higher-value Plan at no additional cost, at the Customer's choice.
E.13 Force Majeure, Disputes, and Policy Changes
SchoolExl is not responsible for delays in processing cancellations or refunds caused by events beyond its reasonable control, including natural disasters, payment gateway failures, cyberattacks, government restrictions, or internet outages. Customers are encouraged to contact SchoolExl Support before initiating a payment dispute or chargeback; SchoolExl will make reasonable efforts to resolve genuine concerns promptly and fairly. SchoolExl may amend this Policy; changes apply prospectively only and do not affect Plans purchased before the revised Policy takes effect.
